Primary Responsibilities
– Open New Client Matters
– Review paperwork is in order & has “Gatekeeper” approval
– Prepare and forward pre-bills (drafts) to billing attorney; make edits to drafts per partner instructions including, but not limited to, time descriptions, transfers, write down/off of unbilled time/costs in conformity with firm policy
– Prepare, draft, finalize and post invoice(s) in Firm financial software
– Review, analyze and ensure compliance with client’s Billing Guidelines
– Submit invoices electronically to various E-Bill intermediaries (i.e. Legal Exchange, TyMetrix 360, Legal-X, Serengeti/Legal Tracker etc.) through our e-billing platform Bill-Blast in accordance with the client's E-Billing guidelines/requirements.
– Coordinate with the Billing Team to correct and revise rejected E-Bills.
– Able to modify and make adjustments to LEDES files to accommodate for authorized adjustments or any incomplete fields (ex. missing Expense UTBMS codes or Phase/Task and Activity Codes).
– Assist in resolving issues arising from transmitted bills (rejections, deductions)
– Take ownership of the full matter life-cycle, assuring proper matter setup in accordance with client and partner requirements / preferences; necessary e-billing task/activity codes and/or budgets are incorporated in matter details; ensure alternative fee arrangements (AFAs) are setup where applicable; compliance with client’s billing requirements (i.e time increments, frequency, invoice(s) template);
– Respond to attorney & client inquiries/questions in a timely manner; escalate issues to Supervisor, Manager, Director, or other firm management as needed
– Collaborate with the billing/collection team and other finance personnel and work closely with partners and other legal staff to achieve the firm’s goals
– Provide coverage during absence of other team members
– Assure conformity with the firm’s accounting, billing and collection policies and controls and ensure integrity of the firm’s financial and operating information
– Prepare various billing reports and analyses, as requested
– Other responsibilities within the billing/collection function as they may be assigned from time-to-time
Additional Requirements:
The position requires Minimum of 2-3years of billing and/or e-billing experience in a law firm (required). The ability to problem solve, strategize, analyze and input data, use computers, communicate, organize and file documents, type, answer and make calls, send and respond to electronic mails, prepare financial reports, review and analyze numbers, engage in accounting & billing tasks, and interact and engage with others for training, oversight, verification, general performance of functions, and to ensure the employee is productive throughout the work week.
